Yes, assume this is correct.

That is not your responsibility. Gift services will apply the assessment on the amount of the gift made between $1K-$5M to the same fund from the same donor in the same fiscal year. In very rare cases some gifts are granted an exception and not assessed.

  • For gifts processed by Gift Services, the assessment is applied at the same time that the funding is transferred to the gift fund.
  • First, the full gift amount is transferred into the donor-designated gift fund, and the assessed amount is subsequently transferred from the gift fund to the Provost’s operating fund.

After you have notified your advancement contact and received approval to close the gift fund, the fund needs to be zeroed out before it can be closed.

  1. Contact shared services to move funds, or apply existing expenses to spend the remaining balance.
  2. When the fund is showing a zero balance, ask your advancement contact to close the fund in Tandem and Workday.

  • If the fund indicates direct aid to students (such as scholarships, stipends, or other direct funding), the function is coded as Student Support. These funds are intended to cover tuition and educational expenses.
  • If the funding is intended for activities related to students’ social, wellness, or co-curricular engagement, the function is coded as Student Services.

The primary purpose or restriction is assigned when new gift funds are established. Together they provide important information so that expenditures can be in compliance with donor intent. Each purpose/restriction is aligned with an associated function. For example, Chair, Deanship, Faculty Fellowship, Professorship all have the function code: instruction.
