Marketo resources and help

A quick guide for getting started with a Marketo request or project.

The CoE Marketing and Communication team supports the efforts of the college and engineering departments in the planning, creation and distribution of UW-branded Marketo messages.

  1. Start by getting endorsed as a user: Email marketo@engr.washington.edu to request an endorsement. Include in your message:
    • A brief description of your unit/department/program
    • A quick description of the email content
    • The number and frequency of messages you plan to send.

    You should receive an email in the next two weeks to register for training.
  2. Complete the Building Email Programs training, to get access to the Engineering Workspace in Marketo.

  1. Build your Marketo program and email draft and check against the UW and CoE style guides, and the UW brand.
  2. Secure approval from necessary internal reviewers prior to requesting program approval.
  3. Have your audience list attached by central UW. See FAQ "I need a list built or attached" below.
  4. Check your email program against the Simple Checklist.
  5. After your list is attached, schedule your email (allowing at least two business days for review*)
  6. Email marketo@engr.uw.edu for final email program approval.
    • Include the program ID in your email.
    • Allow up to 2 business days for program approval:
      • 1 business day for your ticket to be reviewed, plus
      • 1 business day for any additional edits (as needed)

*If approval takes longer than your scheduling window, your Marketo approver can reschedule your email for the same time on the next available day or soonest possible time.

Lists

  • Any spreadsheet uploaded to Marketo is saved as a Static List. These can be used once, or reused and updated.
  • You can associate a static list to multiple programs in Marketo.
  • Static lists are easily updated through the Marketo Audience Request Form.
  • Static lists stored in Marketo can be updated at any time, or can be updated when you need to send to the list.
  • You can choose to include members of a Subscription Preference. These are updated in real-time as people subscribe or unsubscribe to the SubPref.
  • You can integrate events in Cvent to include or suppress contacts. Cvent integration can be requested in the Marketo Audience Request Form.

If you will be working regularly with lists, take the Ins and Outs of Data training course. Email marketo@engr.washington.edu if you need endorsement to be eligible for training.

Depending on the format and source of your message recipients, there are different ways to have an audience built in Marketo:

If your list is... Do this...
A spreadsheet
  1. Make sure the spreadsheet includes the recipients' first name, last name, email address in separate columns.
  2. Use the Marketo audience request form, which includes a secure page for you to upload your list. Allow at least one full business day for your list to be attached in Marketo.

    Alternatively, send an email marketo@engr.washington.edu with your list details and any relevant spreadsheets. Please allow at least 3 business days for your list to be updated and attached.

  1. Download the list from mailman.
  2. Create a spreadsheet that contains three columns of data: first name, last name, email address.
  3. Submit the spreadsheet using the Audience Request form, as noted above.
